Working Across Time Zones: A Late Schedule for Freelancers

Tips for working across time zones as a freelancer or night owl: overlap hours, async updates, a sleep routine that stays fixed and rules for late calls.

Your client works 10 hours behind you. Their 9 AM call is at your 7 PM. Their urgent message at 5 PM arrives at your 3 AM.

For a night owl, this can be an advantage. Late hours match the working day of the client. For other people, it can destroy sleep. A clear schedule decides which result you get.

This guide tells:

Why more freelancers work across time zones

  1. Clients hire globally. Remote work made the location of a freelancer less important.
  2. AI tools decrease language barriers. Translation and writing tools help freelancers work with clients in other languages.
  3. Async tools replace many calls. Shared documents, recorded videos and AI meeting summaries carry much of the communication.
  4. Different time zones can be a service. Work done during the night of the client is ready in their morning.

A late schedule for clients in other time zones

This example is for a freelancer whose main client is about 10 hours behind. The morning of the client is the evening of the freelancer.

TimeTask
10 AMGet up at a fixed time. Go outside in daylight for 10 minutes.
11 AM to 2 PMPersonal time: exercise, errands, household tasks, a meal
2 PM to 6 PMFocused client work, with chat closed
6 PM to 7 PMDinner
7 PM to 10 PMOverlap hours: calls, messages, reviews and decisions
10:30 PMEnd of work: write a status update and close the computer
2 AMSleep. Keep the same time each day.

Calculate your overlap hours from the working hours of your client. Put the focused work before the overlap, so that you can show results in the call.

Rules for calls and messages

  1. Publish your overlap hours. Put them in your contract, your email signature and your calendar.
  2. Show times in both time zones. Example: “Call at 9 AM your time, 7 PM my time.” This prevents missed calls.
  3. Use a scheduling tool. A booking link that shows only your overlap hours stops calls at 3 AM.
  4. Send a status update at the end of each day. Tell what you finished, what is next and which decisions you need. The client reads it in their morning.
  5. Agree what “urgent” means. Example: “For urgent problems, call me. I do not read chat after 10:30 PM.”
  6. Schedule messages for their morning. A message that arrives at 9 AM for the client gets more attention than one at 2 AM.

A sleep routine that stays fixed

The biggest risk is not late work. It is an irregular schedule: a 6 AM call on Monday, a midnight call on Tuesday and no fixed sleep time.

  1. Choose one sleep time and one wake time. Keep them on all days, also on weekends.
  2. Do not accept calls outside your overlap hours. If a call is necessary, move it to the start or the end of the overlap.
  3. Go outside in daylight soon after you wake up.
  4. Decrease bright screens and bright light in the last hour before sleep.
  5. Turn off work notifications after your end of work.

If your clients are in many time zones, choose one main overlap period. Do not try to be available for all of them.

Stress and isolation

A freelancer on a late schedule works when friends and family are free, and sleeps when they work. This causes isolation.

  1. Schedule social time in your personal hours. A lunch or an afternoon walk with a friend fits this schedule well.
  2. Find other freelancers with clients abroad. They understand the schedule.
  3. Measure your work by results, not by the time that you are online.
  4. Sleep problems or low mood can continue for more than two weeks. If this occurs, speak to a doctor.

Tasks for the first week

  1. Calculate your overlap hours with your main client.
  2. Write your fixed wake time, sleep time and end of work.
  3. Put your overlap hours in your email signature and your booking link.
  4. Agree with each client how to contact you for urgent problems.
  5. Write a status update at the end of each workday.

For the full freelance week, read the freelance work schedule. For remote employees on late hours, read the night owl work schedule.

Plan the late day

Many planners start a new day at midnight. Then a call at 1 AM appears on the next day. Play This Life lets you set the hour when your day starts, so late work stays on the correct day. Its assistant can make this schedule for you.
